Luníc Aesthetics & Wellness ("Luníc", "we", "us") is operated by Reine Medical Aesthetics Inc. We respect your privacy. This policy explains what personal information we collect, why we collect it, how we use it and the choices you have. It applies to our website (lunic.ca), our online booking, our social media and advertising, and the forms you fill out to contact us.

1. Information we collect

Callback requests and advertising forms (for example, a form on Facebook or Instagram): your name, phone number, email address and preferred callback time.

Online booking: the information requested when you book an appointment.

Messages: what you send us by phone, email, text message or social media.

Purchases: the details needed to process gift card and shop orders.

Date of birth: we collect your full date of birth and also use it to send birthday greetings and offers. We share it with Cyberimpact and, for new clients, with GoHighLevel, as described in Section 4.

Information collected automatically

When you visit our website, Google Analytics and the Meta Pixel collect information about your visit, including cookie and device identifiers, browser information, the pages you view and your approximate location. Meta may receive your IP address and link your website activity to your Meta account. We use these tools to understand how our website is used and to measure and improve our advertising.

Health information

Our contact and advertising forms ask only for your contact details and preferred callback time. Please do not include medical details in these forms. Information about your health or health care, including appointment information, may be personal health information. We handle personal health information in our custody or control in accordance with Ontario's Personal Health Information Protection Act, 2004 (PHIPA).

For clinical services, we collect relevant health history, medications, allergies, assessment and treatment information, consent records and, where applicable, clinical photographs. We obtain separate, express consent before using any identifiable photograph for marketing.

2. How we use your information

We use your information to:

contact you about your request, taking your preferred callback time into account, and help you book an appointment;

send appointment confirmations and reminders;

send you newsletters, birthday greetings and promotional offers;

use your appointment and treatment history, including medical aesthetic treatments such as injectables, to choose which offers we send you;

answer your questions and provide our services;

process payments, gift cards and orders;

measure and improve our website and advertising;

meet our legal and professional obligations.

We collect only what we need for these purposes.

3. Promotional messages

We send promotional emails and text messages on the basis of express consent, or implied consent where permitted under Canada's Anti-Spam Legislation (CASL). Submitting a callback request does not, by itself, subscribe you to promotional messages. Our promotional messages identify Luníc, include our contact information and offer a way to unsubscribe. You can unsubscribe with the link in our emails, by replying STOP to our text messages or by contacting us. We process unsubscribe requests without delay and within 10 business days. If you unsubscribe, we stop sending you promotional messages; your contact details may remain in our systems, marked as unsubscribed, so that we can respect your choice.

Text messages (SMS). If you check the optional SMS box on one of our forms, we send you text messages about appointments, skin care, treatments and offers. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We share this information only with the service providers that deliver our messages, and only for that purpose.

4. Who we share your information with

We do not sell your personal information. We use service providers to process information on our behalf, only for the purposes described in this policy:

Jane App: online booking and clinical records;

GoHighLevel (United States): managing callback requests, follow-up communications and text messages. Each new client is added automatically with their name, email address, mobile number, date of birth and tags showing the category and name of their most recent treatment;

Cyberimpact (Canada): sending our newsletters, birthday greetings and offers. For all active clients, it receives from Jane App: name, email address, mobile number, date of birth and date of first visit; for the most recent appointment, the treatment name, category, price, date, team member and status; and for the next appointment, the treatment name and date. This may include medical aesthetic treatments such as injectables;

Zapier (United States): automatically copying each new client’s information listed above from Cyberimpact to GoHighLevel;

Meta (Facebook and Instagram): advertising, advertising forms and the Meta Pixel;

Google: email and Google Analytics;

Squarespace: our website, shop and gift cards.

We remain responsible for the personal information we entrust to these providers and require them to protect it appropriately. Some of them store or process information outside Canada, including in the United States, where it may be accessible to the authorities of that country under its laws. When platforms such as Meta or Google use information for their own purposes, their own privacy policies also apply.

We never share clinical records or treatment details with Meta or Google for advertising or analytics. We may share relevant health information with health care professionals involved in your care, with your consent or as permitted or required by law. We may also disclose information when the law requires it.

5. How long we keep your information

We keep personal information only as long as needed for the purposes described in this policy or as required by law. When we no longer need a callback request, we delete it or make it anonymous. We keep limited records of consent and unsubscribe requests to respect your choices and demonstrate compliance. Clinical records are kept for the periods required by law and by the standards of the College of Nurses of Ontario.

6. How we protect your information

Access is limited to team members who need it for their work. We use password-protected accounts, two-step verification where available and reputable service providers.

7. Your rights and choices

You may ask to see the personal information we hold about you or to correct it. You may also withdraw your consent, subject to legal restrictions. Withdrawing consent does not undo earlier lawful uses and does not require us to delete records we must keep by law. We will explain how it may affect the services we can provide.

To make a request, contact our Privacy Officer. We may ask for your request in writing and verify your identity. We respond within the time limits set by law, generally within 30 days, and will tell you if an extension is needed.

You can also limit cookies in your browser settings and manage the ads you see in your Meta and Google account settings.
